Takeoff (Quantity Takeoff / QTO): The process of measuring, counting, and listing every material, quantity, and component shown on a set of plans. Think of it as translating a drawing into a shopping list.
Material Takeoff (MTO): A more specific version of a takeoff focused strictly on materials and quantities needed, rather than labor or equipment.
Linear Feet (LF): A straight-line measurement used for things like fencing, edging, curbing, or piping.
Square Footage (SF): Area-based measurement, common for sod, paving, roofing, or planting beds.
Cubic Yard (CY): A volume measurement, frequently used for concrete, mulch, topsoil, and other bulk materials.
Digital Takeoff: Performing a takeoff electronically using software instead of a scale ruler and printed plans. Faster, more accurate, and far easier to revise.
Scale / Calibration: Setting the correct measurement ratio on a digital plan so your takeoff quantities match real-world dimensions. Get this wrong, and everything downstream is wrong too.
Waste Factor: A percentage added to material quantities to account for cuts, breakage, and overage. Nobody orders the exact amount of sod or pavers and hopes for the best.
Estimating and Bidding Terms
Once you know what’s needed, estimating figures out what it costs. Some important terms to know include:
Estimate: The full projected cost of a project, built from your takeoff quantities plus labor, materials, equipment, and overhead.
Unit Price / Unit Cost: The cost assigned to a single unit of work (per SF, per LF, per CY, etc.), used to build up a total estimate line by line.
Lump Sum Bid: A single total price for the entire scope of work, rather than a price broken out by item.
Scope of Work: A detailed description of exactly what work is (and isn’t) included in a bid. Vague scope is where disputes are born.
Allowance: A dollar amount set aside in a bid for work or materials that aren’t fully defined yet, like an unselected fixture or finish.
Contingency: Extra budget built in to cover unforeseen conditions or risks that surface once the job is underway.
Markup: The percentage added on top of direct costs to cover overhead and generate profit.
Overhead & Profit (O&P): Two separate line items: overhead covers your business’s operating costs, while profit is, well, the reason you’re in business.
General Conditions: Costs tied to running the job site itself (like supervision, temporary facilities, and site management) rather than the physical work being built.
Request for Information (RFI): A formal question sent to the architect, engineer, or owner when plans are unclear or conflicting. Better to ask now than guess and eat the cost later.
Addendum: An official update or clarification to bid documents issued before the bid deadline. Always check for these before you submit.
Documents and Drawings Terms
Estimating lives and dies by the paperwork behind it. Key terms to know include:
Plans / Blueprints: The drawings showing what’s being built, including layout, dimensions, and details.
Specifications (“Specs”): The written companion to the plans, spelling out materials, quality standards, and installation methods the drawings can’t fully capture.
CSI MasterFormat Divisions: The standardized numbering system used to organize construction specs by trade (Division 03 is concrete, Division 32 covers exterior improvements like landscape and irrigation, and so on). Knowing your division numbers makes navigating specs infinitely faster.
Bill of Quantities (BOQ): An itemized list of all materials, labor, and quantities required for a project, often used to solicit pricing from subcontractors and suppliers.
As-Builts: Updated drawings reflecting what was actually constructed, which often differs from the original plans.
Landscape, Hardscape, and Irrigation Terms
Since a huge amount of estimating work lives in exterior improvements, these terms come up constantly and deserve their own spotlight.
Hardscape: The non-living, built elements of a landscape: patios, walls, walkways, and paving.
Irrigation Zone: A section of an irrigation system controlled independently, allowing different areas to be watered on different schedules.
Backflow Preventer: A required device that stops irrigation water from flowing back into the potable water supply (often an easy line item to miss in a takeoff).
Plant Schedule: A chart on the plans listing every plant species, size, and quantity required for installation.
Grading / Cut & Fill: The process of reshaping the ground’s elevation, removing (cutting) soil in some areas and adding (filling) it in others to achieve proper drainage and grade.
Bed Prep: The site work done to prepare soil for planting, including tilling, amending, and clearing debris.
Cost and Project Terms Worth Knowing
Change Order: A formal, agreed-upon modification to the contract scope, price, or timeline after work has started.
Punch List: The final list of small fixes or incomplete items identified near project closeout.
Retainage: A percentage of payment withheld until the project is complete, protecting the owner against unfinished or defective work.
Prequalification: The vetting process owners use to confirm a contractor has the experience, bonding capacity, and financial stability to take on a project before they’re even allowed to bid.
Why Takeoff and Estimating Vocabulary Matters
Estimating terminology isn’t just industry jargon for jargon’s sake. Every one of these terms represents a place where money, time, or scope can quietly slip through the cracks if it’s misunderstood. A missed waste factor means reordering material mid-job. A misread addendum means bidding the wrong scope entirely. Fluency here is about protecting your margins.
